Upgrading from NAV to Business Central – or your first ERP project? 

Licensing and transition

Lifting a purchased NAV license either from NAV X.0 or NAV 20XX to Business Central is called the License Migration Transition Upgrade. Transition and new licensing rules are governed by Microsoft’s own regulations in the Dynamics 365 Business Central On-premises Transition Upgrade Policy. A transition from NAV to BC maintains the original licence value, with an annual update subscription of 16 % of the price paid on its basis. This is significant as the purchase of older NAV users is cheaper than current prices in 2020. Microsoft’s licensing model has changed in the transition from NAV to Business Central. The license types are now called ‘Essential’, ‘Premium’ and ‘Team Members‘:

  • Essential and Premium are two types of ‘Full user’ licenses: a user license for key employees in e.g. sales, finance and supply chain – formerly called ‘Power users’ or ‘Professional users’ – that must have access to the full pallette of functionalities and tools for business management in your company.
  • Team Members is an ‘Additional user’ license: This user license has limited access and typically represents the largest percentage of licenses for your staff. The license is for users who do not need full functionality in Business Central, such as users who are not required to use the license. HR, production staff, and warehouse employees to perform task management, time and expense entry, item and inventory management, m.m.  

From concurrent to named users

Business Central works with ‘named’ users and not ‘concurrent’ users as previously in NAV. Named users are unique users for every employee in the company.

However, this change does not mean that you have to buy more licenses: When you update your license from NAV to BC, it is done in a 1:3 ratio. In practice, this means that 1 simultaneous NAV user is automatically the same as 3 named BC users.

In general, one can say that one can obtain a BC license in 4 ways:

  1. Transition
    Lift an old NAV license with a paid update subscription to BC.
    License Migration Transition Upgrade (LMT Upgrade).
  2. When purchasing the BC On-premises license through Microsoft Dynamics Price List (DPL)
    Here you get a new BC license (Perpetual) with access to the three most recent versions, such as or . BC 16, BC 15, BC 14.
  3. Subscription of BC On-premises license through Microsoft Dynamics Price List (DPL) with a new Subscription (BC) license
    This is settled PUPM (Per User
    Per Month) at a differentiated price depending on whether users are essential, premium or team members.
  4. Subscription of BC SaaS (‘Software as a Service’) i.e. hosted at Microsoft just like Microsoft 365 through the Microsoft Partner Center/CSP (Cloud Solution Provider) program
    This provides a new BC leased PUPM (Per User Per Month) including servers, database space m.m. at a fixed monthly price, which is differentiated depending on whether the users are essential, premium or team members.

Note: If you have a NAV Perpetual/ NAV MBL (Module Based Licensing) / BC On-premises license in advance of the Business Ready Enhancement Plan (BREP), you can get a 40% discount on the SaaS price until Microsoft announces otherwise.
